How to Digitize Contacts from our Printed Smart Sheet

Prefer paper at your open house? You can print a Showable Smart Sheet, have guests sign in by hand, then upload a photo of the completed sheet to turn those handwritten sign-ins into contacts.

Each open house in Showable has its own unique Smart Sheet. Before the event, you can download and print that sheet for guests to fill out by hand. After the event, upload a photo of the completed sheet, review the imported details, and add those contacts to your open house.

Before the open house

Before your event starts, download and print the Smart Sheet for that specific open house.

To do that:

  1. Open the open house in Showable.

  2. In the Hosting Tools section, find Use a Showable Smart Sheet.

  3. Click Smart Sheet to open the PDF.

  4. Print the sheet and bring it to your open house.

Because each Smart Sheet is tied to a specific open house, always use the sheet generated for that event.

During the open house

Have guests clearly fill out the printed Smart Sheet by hand using a black ink pen. Each Smart Sheet can fit 10 visitors. Print multiple sheets so that you don’t run out of Smart Sheets during your open house.

The sheet includes space for:

  • Name

  • Email

  • Phone

  • Agent

Guests can complete the sheet throughout the event, just like a traditional paper sign-in form. The Smart Sheet also includes a unique QR code if your visitors prefer to sign in on their smart phone.

After the open house

Once the event is over, take a clear photo of the completed Smart Sheet and upload it to Showable. This complete process is outlined below.

Before uploading, make sure:

  • The full sheet is visible

  • The image is sharp and easy to read

  • The photo is taken in good lighting

  • Shadows, glare, and extreme angles are avoided

Clearer photos lead to better import results.

Step 1: Open the import flow

Go back to the same open house in Showable.

In the Hosting Tools section, click Upload Sheet next to Use a Showable Smart Sheet.

This opens the Import contacts from Smart Sheet flow.

Step 2: Upload your photo

On the upload screen, click Upload Photo.

Choose a photo of your completed Smart Sheet from your device.

Once the file is uploaded, Showable will display a preview so you can confirm the sheet is facing the right direction.

Step 3: Make sure the text is upright

If the image is sideways or upside down, click Rotate until the text is upright.

When it looks correct, click Accept.

This step is important because importing is much less accurate if the image is rotated incorrectly.

Step 4: Let Showable prepare the contacts

After you accept the image, click Continue.

Showable will begin digitizing the handwritten entries from the Smart Sheet. During this step, Showable prepares names, emails, and phone numbers for review.

Step 5: Review the imported contacts

When processing is finished, you will land on the Review step.

Here, you can check each imported contact before adding it to your open house. Review every row carefully and make any needed changes.

You can:

  • Edit names

  • Edit email addresses

  • Edit phone numbers

  • Edit agent names

  • Remove rows you do not want to import

  • Click Add more to add another contact manually

At the bottom of the page, you will also see the option to send a thank-you email to these contacts. Leave that checked if you want Showable to send the email after import.

Step 6: Add the contacts to your open house

Once everything looks right, click Add to open house.

Showable will import the reviewed contacts and display a completion screen with a summary of what was added.

That summary may include:

  • Registrations

  • New contacts

  • Updated contacts

Step 7: Confirm the import

Click View open house to return to the open house page.

Your imported contacts will now appear in the Contacts section. Their source will be listed as Paper.

Tips for the best results

A few simple things can improve accuracy:

  • Take the photo straight on

  • Include the full page in the image

  • Use bright, even lighting

  • Avoid blurry photos

  • Make sure handwriting stays within each row

  • Write as clearly as possible, especially for emails and phone numbers

Troubleshooting

The image is sideways

Use the Rotate button until the text is upright, then click Accept.

Some contact details are incorrect

Handwritten imports are not always perfect. Use the Review step to correct any names, emails, phone numbers, or agent names before adding the contacts.

A phone number or email is missing

If part of the handwriting is faint, messy, or cut off in the photo, Showable may not capture it correctly. You can fill it in manually during review.

A contact was updated instead of added as new

If Showable recognizes an existing contact, it will update that contact instead of creating a duplicate.
